Administrative Assistant

Role Summary

We are seeking an Administrative Assistant, where you will be providing top-level support to the Corporate Enterprise Manager with smaller duties extending to the wider Lab where needed.

Key Responsibilities

Administration

  • Provide support to your direct line manager with operational functions
  • Courier handling
  • Data entry on all facilities documentation related to your role
  • Logistical support
  • Loading Bay handling
  • Monitor admin email inbox and respond promptly
  • Documentation preparation/printing
  • All facilities Outlets/Assets and equipment logged
  • To perform general clerical duties e.g. telephone answering, dealing with queries that are related to the lab
  • Filing
  • Liaise regularly with the team of expected clients/ suppliers/ guests attending the site
  • Greeting clients/customers
  • Treat all confidential material with the utmost discretion, ensuring compliance with privacy and data protection regulations
  • Assist in preparing agendas, coordinating and actioning minutes from core meetings using AI tools
  • General day-to-day administrative duties when requested by your line manager
  • Identify opportunities for improvement from the monitoring activities completed to reduce costs, increase efficiencies, and improve quality
  • Action minutes from core meetings using AI tools

Equipment and Supplies Management

  • Record keeping of clients and contractors
  • Data input of energy providers (overall responsibility of vendor suppliers across the business such as); BT, Valda, BOC etc
  • Reporting of any damages, malfunctioning of equipment/facilities
  • Maintain inventory of office supplies and ensure stock levels are up-to-date
