Executive Assistant

Role Summary

We are seeking an Executive Assistant, where you will be providing top-level support to the CEO & CTO with additional duties extending to the wider Lab where needed.

Job Description

  • Provide comprehensive administrative support to the CEO & CTO, managing various business-related tasks.
  • Manage communications, including answering and directing emails and phone calls to appropriate parties with discretion and professionalism.
  • Efficiently handle daily schedules, ensuring directors' calendars are meticulously organised and optimised for time management.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Assist in the organisation of meeting agendas and the recording of meeting minutes. We make use of an AI notetaker so familiarity with such tools is a bonus.
  • Arrange and coordinate travel plans, itineraries, and agendas.
  • Supporting the day-to-day administration of the office in partnership with colleagues.
  • Treat all confidential material with the utmost discretion, ensuring compliance with privacy and data protection regulations
  • Pick up additional responsibilities where appropriate and as they arise within our scaling start-up environment.

Qualifications

  • Proven experience as an executive assistant or in other administrative positions.
  • Excellent written and verbal communication skills.
  • Strong organisational skills with the ability to multitask.
  • High level of discretion and confidentiality.
  • Proficiency in MS Suite and other office productivity tools, aptitude to learn new software and systems such as Azure and 365 planning tools.
  • Flexible schedule with the ability to work in a fast-paced, ever-changing environment.
